Overview:

Bain & Company is hiring an experienced Specialist – Payroll, APAC Finance at their New Delhi location. This person will support administration related to processing the payroll of APAC (Hong Kong, India, SEA & AUS) business as well as requirements related to employees transferring between various countries. In addition, the Payroll Administrator will support analysis and reporting around headcount of the business and entities.

The complete details of this job are as follows:

Roles and Responsibilities

  • Assist the Manager / Sr. Manager/ Director to drive:
  • New projects – Process efficiencies, BDPs etc.
  • New Process transitions
  • Focus on Standardization / Harmonization / Automation

Eligibility Criteria:

  • Payroll Processing:
  • Liaise with HR to gather payroll information.
  • Work with external provider in the end-to-end payroll processing of Local & Transfer employees
  • Set up new and terminate leavers of Local and Transfer employees onto the payroll system.
  • Liaise with HR on Transfer employees.
  • Assist in Bonus payment preparation for Local & Transfer employees.
  • Assist in the termination calculations for departing employees.
  • Computation of tax equalization for transfer employees
  • Computation of monthly vacation accruals and support preparation of journals (Hong Kong, India, SEA & AUS)
  • Support preparation of payroll related journals.
  • Update payroll bank recon.
  • Ad-hoc support for payroll functions.
  • Reporting, Regulation and Ad-Hoc Requirements:
  • Monthly reconciliation/review of payroll related BS schedules
  • Prepare monthly foreign reporting tother offices.
  • Prepare monthly payroll management template.
  • Prepare year-end bonus template and reconcile the amount against HR computation.
  • Update level change or promoted employees in the payroll system (2-3 times yearly)
  • Review monthly experience share transfer and expert listing (Hong Kong, India, SEA & AUS)
  • Prepare annual payroll audit reconciliation and handle payroll related audit queries.
  • Monitor and respond to Payroll Inbox queries on employee related matters.
  • Liaise with internal and external clients on payroll matters.
  • Work with external tax advisors on individual taxes for Transfer employees
  • Prepare monthly/quarterly cash forecast for payroll.
  • Prepare W2/673/W4/FEIE earnings report (yearly requirement for US citizens and Greencard holders)
  • Prepare SDF & CPF (Singapore regulatory retirement benefit) reconciliation.
  • IR8A review and preparation (annual employee income statements)
  • IR21 review and preparation (tax clearance for non-Singaporean departures)
  • Prepare Superannuation (Australian regulatory retirement benefit) reconciliation and lodgement.
  • Prepare & Maintain monthly interstate and overseas days tracker for employee.
  • Prepare leave report for ad hoc request.
  • Prepare monthly payroll tax reconciliation.
  • Prepare W2 earnings report (requirement for US citizens and employees)
  • Maintain G2G and prepare related reporting.

Headcount Reporting:

  • Maintenance of the Headcount system and Headcount Maintenance and Reporting:
  • Ensure the Headcount reporting system is up to date and accurately reflects actual office headcount.
  • Submit monthly Headcount numbers in the global headcount reporting system.
  • Submit Forecasts/Plan Headcount numbers in the headcount reporting system.
  • Prepare various Headcount analyze and work closely with Managers.
  • HR to reflect these numbers.

Operational Excellence

  • Drive operational excellence in APAC according to the global vision, working to identify and implement process improvement and optimization initiatives.
  • Ensure that process documentation and standard operating procedures are consistently up to date.
  • Further drive process standardization and harmonization across APAC and the globe
  • Independently gathered key information to perform role (e.g., used critical thinking approach, performed required internal / external research, and collaborated with other Bainies, etc.)
  • Delivered accurate data, analysis, and output; mitigated and solved potential errors before sharing with stakeholders.
  • Identified and communicated general insights from analysis.
  • Exhibited high attention to detail

Others:

  • Ad-hoc reporting and analysis when required.

  • High degree of accuracy, thorough approach to completing tasks, with a strong attention to details and zero/no defect
  • Ability to think analytically and “outside the square”.
  • Professional in handling confidential and sensitive information
  • Strong service ethic, towards both internal and external stakeholders
  • Strong ability to prioritize across conflicting deadlines.
